Privacy Policy
This page covers two things: the BSA Check Register app, and the kwent.ai website and its Free Automation Audit form (Part 2 below).
Last updated: October 12, 2026
This policy explains how the "BSA Check Register" application (the "App"), operated by Kwent.ai, handles information. The App is a private tool built by Kwent.ai for a single barangay client to record checks and produce accounting reports. It is not offered to the general public.
What the App accesses
- Google Drive: The App connects to one Google account operated by Kwent.ai (kwentoperations@gmail.com). It asks for only one permission, "drive.file", which lets the App see, create, edit and delete only the files that the App itself creates. It cannot see any other files in that Google account.
- Information entered by authorized staff: check numbers, dates, payees, amounts, voucher and obligation details, and the names of the people who use the App.
How the information is used
The information is used only to run the register: storing records, producing reports (such as the Summary of Checks Issued and the Record of Appropriations and Obligations), keeping backups, signing users in, and keeping a log of changes.
Google user data
The App's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not sell this information, use it for advertising, or use it to train AI models.
Service providers
We use service providers to host the App, store its database and files, and, if the document-photo feature is enabled, to read photos of documents with an AI service. They receive only what is needed to provide those services. We do not otherwise share information, except when the law requires it or the barangay instructs us in writing.
Retention and deletion
Records are kept while the barangay uses the App. When the service ends, or when the barangay asks, records are returned or deleted as agreed in writing with the barangay. You can remove the App's access to the Google account at any time at myaccount.google.com/permissions.
Security
Access is limited to named user accounts. Passwords are stored in hashed form and connections are encrypted (HTTPS).
Changes and contact
We may update this policy and will change the date above when we do. Questions: hello@kwent.ai
Part 2: The kwent.ai website and Free Automation Audit
What we collect
When you request a Free Automation Audit, we collect what you type into the form: your name, email address, business name, industry, and the biggest challenge in your business. We also record which country you are visiting from, based on your internet connection, so we can quote prices in the right currency. We do not ask for your exact location.
How we use it
Only to prepare and send your audit and to reply to you about it. That includes using an AI service to help draft our replies and your audit report, based on what you told us. We do not sell your information, use it for advertising, or use it to train AI models.
We reply from hello@kwent.ai. We do not add you to a mailing list or newsletter.
Service providers
We use trusted providers to host this website, run our automations, store our records, send email, and draft replies with AI. They receive only what they need to do that work. We do not otherwise share your information, unless the law requires it.
Cookies and tracking
This website does not use advertising or analytics cookies. Our hosting provider briefly processes your internet address to deliver the site and to block repeated automated submissions.
How long we keep it
We keep your information while we are in contact about your audit, and for up to 2 years after our last contact. Then we delete it. You can ask us to delete it sooner at any time.
Your rights
Under the Philippine Data Privacy Act of 2012, you can ask to see, correct, or delete your information, or object to how we use it. Email hello@kwent.ai and we will respond within 15 working days.
